These Terms & Conditions (“Terms”) form the basis of your contract with On The Wing Ltd (“we”, “us”, “our”). Please read them carefully before booking. By making a booking, the lead booker agrees that they:

  • Have read these Terms, understand them, and have the authority to agree to them for the entire party;
  • Are responsible for all payments due under the booking;
  • Will provide accurate information for all persons on the booking;
  • Will communicate all updates from us to their party;
  • Consent to the use of personal data in line with our Privacy Policy.

1. Making a booking

A booking is confirmed when:

  • You pay the required deposit or full balance; and
  • We issue a Booking Confirmation email.

Until the Booking Confirmation is issued, no contract exists, and we may decline the booking and refund any payment received.

You must check all details on the Booking Confirmation and inform us immediately of any errors.

The lead booker must be at least 18 years old.

2. Payment terms

  1. Deposits are non-refundable unless stated otherwise.
  2. The remaining balance must be paid on or before the due date stated in your Booking Confirmation.
  3. If payment is late, we reserve the right to cancel your booking and retain all payments made.

Prices may change before booking, but will not change after we issue your Booking Confirmation unless:

  • A clear pricing error was made on our website; or
  • A supplier changes the wholesale cost before confirmation.

3. What is included/not included

Your Booking Confirmation clearly states what is included in your package. Unless stated otherwise, the following are NOT included:

  • Flights
  • Airport transfers
  • Insurance
  • Local city taxes
  • Meals
  • Transport to/from the stadium or event
  • Anything not explicitly listed as “included”

4. Match tickets & event information

  1. All match/event tickets are supplied according to the rules of the event organiser, competition, and venue.
  2. Kick-off times and dates may change. This is outside our control.
  3. Refunds are not issued for date/time changes.
  4. Seating categories are as described on your booking. Minor variations may occur.
  5. We reserve the right to upgrade or relocate your seats if required by the club/event organiser.
  6. You must comply with all stadium rules, safety regulations, and behaviour standards.

5. Changes made by you

  • Requests must be made in writing by the lead booker.
  • We will try to accommodate changes, but we cannot guarantee supplier acceptance.
  • Any supplier charges must be paid by you.
  • An admin fee of £25 per person may apply.

6. Cancellation by you

To cancel, the lead booker must email us. Cancellation charges apply as follows:

  • Up to 70 days before travel: Loss of deposit
  • 69–31 days before travel: 75% of total cost
  • 30 days or fewer: 100% of total cost

If one person cancels from a group booking, the price for the remaining travellers may increase.

7. Cancellation or changes by us

We may need to make changes due to circumstances beyond our control, including:

  • Supplier cancellations
  • Ticket allocation changes
  • Hotel overbookings
  • Stadium restrictions
  • Force majeure events (see Clause 8)

Where possible, we will:

  • Offer an alternative of equal or higher standard; or
  • Offer a partial refund; or
  • Offer a full refund if the entire package cannot be delivered

We are NOT liable for:

  • Flights
  • Additional transport costs
  • Loss of income
  • Any indirect losses

8. Force majeure

We are not liable where performance of our contract is prevented by events outside our control, including:

  • War, terrorism, civil unrest
  • Disease outbreaks or pandemics
  • Adverse weather
  • Government restrictions
  • Industrial action
  • Natural disasters
  • Supplier insolvency

We will attempt to offer alternatives, but we cannot guarantee refunds.

9. Travel insurance (mandatory)

You must have travel insurance covering:

  • Medical costs
  • Cancellation
  • Personal accident
  • Travel disruption
  • Sporting event attendance

We do not accept liability for losses recoverable through insurance.

10. Passport, visa, & health requirements

You are responsible for meeting all entry, visa, health, and vaccination requirements.

We are not liable for denied boarding, visa refusal, or any related losses.

11. Behaviour & safety

You must adhere to:

  • Stadium rules
  • Local laws
  • Hotel policies
  • Behaviour and alcohol rules

We may remove any traveller (without refund) whose behaviour:

  • Is dangerous
  • Causes disruption
  • Violates stadium or supplier rules

12. Youth & school trips

For travellers under 18:

  • Parental/guardian consent is required.
  • Supervising adults remain responsible for behaviour and safety.
  • We will require medical forms and emergency contact details.

13. Our liability to you

We are responsible for proper performance under the Package Travel Regulations.

We ARE NOT liable for:

  • Acts/omissions of event organisers, stadiums, hotels, transport providers
  • Events outside our control
  • Losses caused by you
  • Additional travel costs
  • Injuries caused by reckless or intoxicated behaviour

Maximum liability = total amount paid for the booking.

14. Special requests

We will pass on special requests, but cannot guarantee fulfilment unless confirmed in writing.

15. Data protection

We process personal data according to UK GDPR. Your data may be shared with:

  • Hotels
  • Ticket suppliers
  • Event organisers
  • Local partners
  • Emergency authorities

16. Website accuracy

We aim for accuracy, but errors may occur.

We reserve the right to correct pricing or description errors.

17. Complaints procedure

If something goes wrong:

  1. Contact us as soon as possible.
  2. Submit a written complaint within 28 days of your trip ending.

18. Law & Jurisdiction

These Terms are governed by the laws of England & Wales.

Disputes will be handled by courts in England & Wales.
